CONVERTING AN OUTLOOK EMAIL TO PDF FORMAT FOR WRITE-OFF ATTACHMENT
The write-off process requires the approval of the authority level for the amount to be in written form and attached to the write-off form. The write-off site is not able to upload email (.msg format) files and will require them to be converted to pdf format to successfully attach it to the form.
File – Print Method
Select the target email for printing by single, left clicking on the email.
- Select the ‘File’ main menu.
Select the ‘Print’ option.
- This will open the print preview window displaying the email.
- Ensure the ‘Printer’ field is set to ‘Microsoft Print to PDF’.
Select the ‘Print’ option.
- This will open the ‘Save Print Output As’ dialog box.
- Within the dialog box, select a destination for the file to be saved.
- Enter a name for the file. Best Practice – enter a short title with no special characters (dashes are acceptable).
- EX1: Invoice 123456
- EX2: File 8123456 write-off approval
Ensure the ‘Save as type’ field is set to PDF Document.
- Select ‘Save.
The system will automatically save and open the new pdf file. You can close this file and proceed to attach it to the write-off form.
